Guide to Event Promotion

Basic Steps for Event Promotion at Baruch College, 1/22/07

The Baruch Marketing Network asked that I circulate a “how to” document on publicizing internal and external events.  The first step would be securing the space for your event, which typically means contacting Cres Coutinho in Conference Services at 646-312-1442, http://www.baruch.cuny.edu/conferencecenter/index.htm

There are two places to start to publicize your internal and external events:  www.baruch.cuny.edu/visualstandards and www.baruch.cuny.edu/calendar/

  • www.baruch.cuny.edu/visualstandards was created by Baruch’s Office of Communications and Marketing (OCM) to describe the College’s standards and OCM’s services.  There’s an introductory message that describes the Office of Communications and Marketing’s services, including referrals to professional photographers, and gives guidelines for requesting in-house editing and design.

  • www.baruch.cuny.edu/calendar/ was created by BCTC and CUNY to organize a CUNY-wide on-line calendar.  There’s a choice on the right called, “Submit an Event for Comprehensive Calendar.”

http://www.baruch.cuny.edu/bctc/media/request.htm – for reserving AV equipment (in addition to requesting equipment, this form allows you to request that your event be filmed for the College’s Digital Media Library).

Initiating Push E-Mails

If you would like to send an e-mail announcement to faculty and staff, please send Christina Latouf (christina.latouf@baruch.cuny.edu) an e-mail making that request with the appropriate “who, what, where, why, and when” information.  Pease emphasize what the prospective attendee will gain from your session (I’m suggesting that you truly market your event and emphasize why prospective attendees should dedicate time to it).  Carl Aylman (carl_aylman@baruch.cuny.edu) sends a weekly e-mail to both undergraduate and graduate students on Thursdays, so please e-mail Carl directly if you are trying to reach students.  THE BARUCH MARKETING NETWORK ASKED THAT I STANDARDIZE THE DAY OF THE WEEK THAT I SEND NOTES RELATED TO EVENTS.  THAT DAY WILL BE THURSDAY.  Regarding sending event-related e-mails to alumni, President Waldron asked that I include those in push e-mails that I will be sending to alums on February 15, April 15, and June 15 (please notify me a week ahead if you would like your event to be included).  I’m sorry that the infrequency of those push e-mails to alums will not support each of your events.  You may want to build your own e-mail distribution lists of attendees of your events.

Requesting Promotion for Your Event on the Home Page of the College’s Website

Please send your request for the home page with its appropriate “who, what, where, why, and when” information to Christina Latouf (christina.latouf@baruch.cuny.edu), including whether the event is restricted to the college community.  Please include any digital images you have, because the better the digital image, the more likely that we could use your content on the home page.  The College’s home page will relaunch after the Spring semester to look more similar to the page you see at www.baruch.cuny.edu/alumni.  In the meantime, this semester we will continue to use some of the large images you see in the center and some of the campus news items on the left to promote events.  Your event information will be accessible to our website users as long as you submit your event to the CUNY comprehensive calendar (see above). In response to a request by a member of the Baruch Marketing Network, we will show more Baruch events extracted from the comprehensive calendar on Baruch’s website.
