STUDENT CLUBS & ORGANIZATIONS RESOURCES

STUDENT CLUB EXTERNAL FUNDRAISING GUIDELINES

Below are guidelines student clubs must follow in order to seek funds for their activities from corporations or other organizations external to Baruch College. At any given time, the Office of College Advancement (OCA), which is responsible for the College's institutional and individual fundraising activities, is in discussion and negotiation with many companies on the College's behalf. Therefore, all solicitations to corporations and other organizations must be coordinated with them. Fundraising within the CUNY systems must also follow CUNY and state and federal tax policies.

Guidelines:

  1. Only elected club officers can solicit funds from corporations or other organizations.

  2. Students who want to fundraise externally must go through a fundraising workshop offered once a semester as part of club orientation.

  3. Students who want to go to corporations to make requests for funds to support student club activities must receive approval from both the Office of College Advancement and Student Life (unless they are going to a personal contact within an operating unit of the company and are receiving only in-kind gifts or club expense pickup by the person/unit). Download a copy of the form that must be submitted to Student Life to obtain approval for your fundraising activities.

  4. Student clubs will be able to obtain an invoice from the Student Accounting Unit (Carolyn_Privette@baruch.cuny.edu) in order to collect any outright cash contributions from a corporation. This form must be used to collect contributions from corporations or other organizations. This ensures that the fundraising review process has been followed, the invoice contains the correct gift information, funds get into the right club account, there is a centralized record of the gift. Download a sample invoice.

  5. Students are solely responsible for collecting any and all funds from corporate or other sponsors.

  6. Unless they have a prior relationship with a corporate executive, student club officers in clubs may go only to pre-approved individuals within a corporation to solicit funds. The list of pre-approved corporate contacts is available from Donna Haggarty in the Office of College Advancement.

  7. Students may solicit corporations for funds for club activities only, such as conference sponsorships, alumni receptions, social events, and other College-approved social and career-related events. (Scholarships, club endowments, paid internships, research grants, or awards for student performance may only be solicited through College Advancement.)
