Annual Re-inventory Process for 2010
Each year, the College is mandated by New York State to conduct a physical re-inventory of equipment throughout the college. We are required to comply with the Office of the University Controller’s standards. The Property Management staff will begin this year’s annual physical re-inventory on all fixed assets on June 21, 2010.
The Property Management staff must physically see ALL equipment that is on campus, purchased by the College, as part of its physical re-inventory process. Therefore, we must have access to ALL campus locations. Please provide keys to ALL offices, classrooms, closets, and cabinets to the Property Management staff, at the time of their visit. The staff will communicate and arrange a date and time for each visit. Visits will occur for the duration of June 21 through November 30, 2010.
If for any reason an area is inaccessible, it will be opened with the assistance of the Public Safety staff. Remember that ALL equipment must be properly re-inventoried each and every year in compliance with CUNY’s policy.
The Property Management staff is required to scan ALL Baruch College equipment with a CUNY barcode. This equipment includes but is not limited to:
- Computer equipment: CPU, Monitor, Printers, Scanners, Laptops, Kiosks
- Media Equipment: Projectors, Televisions, Flat screens, VCRS, DVD, Cameras
- Science Equipment
- Security Equipment
- Fitness Equipment
- Buildings and Grounds Equipment
If you are authorized to have college equipment off campus, the equipment must be properly re-inventoried by completing the Off Campus/At Home form at http://www.baruch.cuny.edu/cfo/documents/Off-Campus_re-inventory_form_June20101.doc. In addition to the link provided, the form will also be mailed to the address you provided on last year's Off Campus/At Home form and an email will be sent to those persons authorized to have equipment off campus. Off campus equipment information will be sent to your department.
If equipment has been seriously damaged or destroyed, the Property Manager must be notified in writing immediately of its occurrence. Notification is required in the form of a memo or an e-mail for documentation purposes.
If equipment has been lost or stolen, a report must be filed with the Public Safety Office and a copy of the report must be given to the Property Manager.
