Procedure for Relinquishment of Inventorial Equipment
The Property Manager’s role is to manage the inventory of ALL Baruch College owned fixed assets, movable equipment and property, in accordance with the standards of The City University of New York from acquisition through disposal. This process is a requirement of City, State, and Federal regulations.
The inventory is managed and maintained through the NetFM/INSITE database system, which records and tracks the inventory, utilizing the CUNY bar code system. Items are entered into the database with the following details: description of the equipment including manufacturer’s name and model number, serial number, CUNY Barcode number, condition, and location. Examples of inventorial items are: computer related equipment, media equipment, furniture, vehicles, etc. All items inventoried are purchased through State, Research Foundation, and Non-Tax Levy funds.
RESPONSIBILITIES:
- Physically tag items as well as monitor tagging of all inventorial items.
- Maintain the NetFM/INSITE database system with detail records of all new, obsolete, and discarded equipment.
- Prepare and analyze quarterly reconciliations based on FAS reports from CUNY’s Central Office;
- Administer annual re-inventory of the college’s assets, according to the criteria set by the University’s Controller’s Office. The physical re-inventory process takes place during the months of June through August of each year.
- Work closely with Budget, Purchasing, Receiving and Stores, Environmental Health & Safety, Public Safety, Baruch Computing and Technology Center and Accounts Payable to communicate/coordinate tracking of all inventory;
- Provide assistance to auditors when requested. Baruch College is subject to internal and external audits. Therefore all property must be accounted for accurately and on a timely basis.
If any inventorial asset requires re-location, the Property Manager’s Office must be notified before the item(s) is moved. This communication allows the Property Manager to insure the accuracy of the College inventory database.
